WILD LODGE GLAMPING BOOKING AGREEMENT
BOOKING, FEES AND SECURITY BOND BOOKING CONFIRMATION
A booking is considered confirmed when
• a date has been agreed upon by Wild Lodge and the Client.
• full payment has been received, including the refundable security bond ($100)
CANCELLATION BY WILD LODGE
Wild Lodge will always strive to accommodate the clients booking reservation as agreed upon when booking. However, delays, changes and cancellations in the schedule are unavoidable. We try to communicate any schedule changes as they occur. In the event of a booking being cancelled by Wild Lodge, for any reason, full payment will be refunded to client.
CANCELLATION BY CLIENT
In the event of a cancellation of the booking by the Client within 14 days of event, fifty percent (50%) of the total fee is charged and the remainder will be refunded to client. If the Client cancels prior to 14 days before the event, a full refund will be given.
SECURITY BOND AND REFUND
While Wild Lodge acknowledges that general wear and tear will occur, it should be understood that the Client listed on the booking agreement is responsible for the care and supervision of all the equipment for the duration of the booking period. The client is liable for the full replacement costs of any equipment lost or damaged during the booking period, regardless of who caused the loss or damage (client, guest, other) On completion of final stocktake and final inspection (completed off site) undertaken by Wild Lodge, and no damage or loss is found, the full security bond will be refunded to the client within 7 days. If any loss or damage has occurred, the costs will be deducted from the security bond money. If loss or damages are greater than the security bond amount, additional charges will be charged. The client will pay the outstanding monies to Wild Lodge via Direct Deposit within 7 days.
PREPARATION FOR SET-UP
*AN AREA OF AT LEAST 10SQ MTRS IS REQUIRED FOR SET-UP
Please be sure your site is ready before we arrive at the job site. (lawns mowed, furniture moved, pet droppings picked up, etc.) It is the responsibility of the Client to identify, mark and notify Wild Lodge of any underground utilities (Phone lines, cable lines, pet fences, sprinkler systems, water lines, gas lines, electric lines, septic system, etc.) The Client will assume responsibility for all damages to underground utilities in absence of notice or incorrect location of utilities. Wild Lodge will not be liable for any damages or injury at the event.
DELIVERY AND SET UP
All equipment will be delivered, set up and then packed down and collected at a designated location and at an agreed time. The Client must be available to count all items upon delivery and collection, otherwise the final stocktake taken by Wild Lodge will be considered accurate.
TENT INSTALLATION AND DISMANTLE
Installation of a tent must be done correctly for the protection of the users, the tent and ultimately the success of your event. Therefore, it is our strict policy that all installation and dismantling is done by our crews. All prices quoted will include these services. All rubbish and personal items and decorations of any kind should be removed from the tent after your event. There will be additional charge for extra cleaning or damage from decorations.
WEATHER/ENVIRONMENT
Our clients must understand that tents are temporary structures designed to provide limited protection from weather conditions: however, there may be situations that become unsafe such as high winds or lightning. Evacuation of tents is recommended in these or other unsafe conditions. Our tents, while having a 5000mm waterproof coating, are not guaranteed to be completely waterproof in heavy rain or extreme conditions.
It is the Client’s responsibility to monitor the area, the tent and the vicinity for environmental dangers such as snakes, possums, lizards, mosquitos etc. Wild Lodge take no responsibility for injuries or wounds resulting from contact with any insect or creature that enters the tent or is in the vicinity of the tent. Wild Lodge recommends insect repellent and fly spray for managing insects and the doors to be closed when not in use and the fly screen to be closed when the tent is occupied.
TENT USE
• No cooking, candles, or fires in or around tent.
• No food or drink inside tent
• No pets or animals inside tent
• All care to be taken to keep tent and furnishings clean and in good condition
• All items are to remain inside tent and not be removed or taken out of tent.
Summary: Responsibility of the equipment remains with the client from the time of the delivery to the time of pick up. Be sure all equipment is used according to these terms and conditions. The Client is solely responsible for any additional charges incurred as a result of failure to meet these conditions.
